— [Name, designation], Your Compass LLC
Your Compass LLC, a UAE system integrator running two legal entities, was using Zoho Books and Zoho Payroll only at a basic level. Nurture Spark designed a six-module Zoho ecosystem, including a custom Zoho Creator payroll app, that connects sales, delivery, finance, payroll, HR and analytics.

The Challenge: A Growing Business on a Minimal Zoho Setup
Your Compass has more than twelve years in the market and around 40 staff across an Abu Dhabi entity and a Dubai free-zone subsidiary. Delivery is project-based, so every engagement carries its own costs, milestones, resourcing and revenue schedule, and management needs to see each one in real time.
❌ Challenges before the new system
- No CRM: leads, BOQs, RFQs and margin calculations handled outside any structured system
- No link between won deals and project execution
- Revenue recognition, WIP and deferred income not automated or standardized
- Payroll isolated from project costing, so labour cost could not be allocated to projects
- No formal HR system for attendance, leave, onboarding, exits or performance
- No unified reporting across the two entities
- Licensing risk: Payroll and People need licenses for all ~40 employees, so a company-wide bundle could add unnecessary cost
What They Used Before
Your Compass was already using Zoho Books and Zoho Payroll, but with minimal configuration and largely as standalone tools for basic bookkeeping and salary runs. Sales, project delivery, HR and reporting had no dedicated system and relied on manual processes and spreadsheets.
The Solution: One Ecosystem, Six Connected Modules
Rather than layering new tools on top, Nurture Spark designed one ecosystem around how the business works: leads become deals, deals become projects, projects generate cost and revenue, employee time drives payroll and project costing, and every module feeds one analytics layer. Every connection runs on Zoho’s own APIs and native integrations, so there is no manual import or export between modules.
| Business area | Zoho application | What it handles |
|---|---|---|
| Sales and pre-sales | Zoho CRM | Leads, deals, BOQs, RFQs, costing and margin, quotes |
| Project management | Zoho Projects | Templates, milestones, timesheets |
| Accounting and finance | Zoho Books | Project-based accounting, invoicing, revenue recognition |
| Payroll | Zoho Payroll and custom Zoho Creator app (PAS) | Salary computation, project-wise cost allocation |
| Human resources | Zoho People | Employee records, leave, attendance, onboarding, performance |
| Reporting | Zoho Analytics | Consolidated dashboards across all modules |
Deal closed in CRM → project created from the right template → timesheets drive payroll → journals post to Books → everything reports in Analytics.
Module by Module
Module 1 · Sales and pre-sales (Zoho CRM)
Before: No CRM: leads, BOQs, RFQs and margin calculations were handled outside any structured system, and a won deal created no starting point for delivery.
✅ What we built
- Custom forms across Leads, Accounts, Contacts, Deals and Products, plus Pre-Tender and Post-Tender RFQ forms
- In-CRM quoting engine: product subform with automatic margins and totals, and a ready-to-send PDF quote
- Web forms from the website, Google Ads and social channels with round-robin lead assignment
- Blueprint-driven deal approvals and deal-to-project hand-off using the correct project template
Result: Sales teams across both entities work from one standardized pipeline with consistent costing and a direct line from a won deal into a live project.
Module 2 · Project management (Zoho Projects)
Before: Task tracking was informal, project setup varied from job to job, and timesheets were not connected to payroll or cost tracking.
✅ What we built
- Project and task layouts, custom fields and statuses matching real execution stages
- Templates per service line (Infrastructure, Hardware, IT Consulting) mapped to CRM
- Two-way sync of progress and milestones back to the CRM deal
- Timesheets syncing to payroll and budget-versus-actual cost tracking
Result: Every closed deal becomes a structured project automatically, with progress, cost and billing status visible in real time.
Module 3 · Accounting and finance (Zoho Books)
Before: Books was in minimal use. Revenue recognition, WIP and unearned income were not automated, and invoicing was not tied to milestones.
✅ What we built
- Finance foundation rebuilt: fiscal year, VAT, chart of accounts, cost centres and approval workflows
- Customers and items synced live from CRM
- Milestone or percentage-based billing mapped to each project
- Advanced revenue recognition rules by service type and automated WIP journal entries
Result: Revenue is recognized consistently and automatically, and finance has a real-time, audit-ready view of both entities.
Module 4 · Payroll (Zoho Payroll and a custom Creator app, PAS)
Before: Payroll ran with minimal configuration and no connection to HR or Projects, so labour cost could not be allocated to projects.
✅ What we built
- Master data synced from Zoho People, with leave and overtime feeding payroll adjustments
- Salary master with effective-dated pay-per-day calculations and policy-based pay cycles
- Scripted templates for salary certificates and end-of-service settlement slips
- Daily timesheet sync from Projects and draft journals pushed into Zoho Books
Result: Every hour an employee logs flows into accurate, project-tagged payroll cost and finance journals.
Module 5 · Human resources (Zoho People)
Before: No formal HR system for attendance, leave, onboarding, exits or performance, and app access was provisioned manually.
✅ What we built
- Policy-accurate attendance and leave rules with manager approval flows
- Migration of company structure, employee master and transactional history
- Access to Payroll, CRM, Projects, Books and Analytics provisioned from People records
- Mail-merge HR letters, an HR helpdesk, guided onboarding and exit flows, appraisals and travel/expense forms syncing to Books
Result: Zoho People is now the authoritative employee record that every other module draws from.
Module 6 · Reporting and analytics (Zoho Analytics)
Before: Leadership had no consolidated, real-time view across two entities and relied on manually compiled spreadsheets.
✅ What we built
- Direct connection to People, Payroll, CRM, Projects and Books on an hourly sync
- Custom SQL queries joining data across modules
- Sales, project, finance and HR dashboards
Result: Leadership across both entities works from the same live numbers, updated throughout the day.
A Licensing Model Built Around Real Usage
Because Zoho Payroll and Zoho People both need licenses for the full headcount, a company-wide bundle such as Zoho One would license every employee for every application, even though CRM, Projects and Analytics are used by a smaller group. Nurture Spark recommended individual licensing for each application, sized to the users who need it, with licenses added module by module as the company grows.
Benefits Achieved
| Area | Before | After |
|---|---|---|
| Sales process | Manual quoting, no pipeline visibility | Standardized CRM pipeline with automated costing and quotes |
| Project setup | Ad hoc, disconnected from sales | Auto-created from CRM using standard templates |
| Revenue recognition | Manual, inconsistent | Automated, rule-based by service type |
| Payroll and project cost | Payroll isolated from delivery | Timesheet-driven, project-wise cost allocation |
| HR administration | No formal system | Structured onboarding, leave, performance and access control |
| Management reporting | Manual spreadsheets, siloed data | Live, consolidated dashboards across both entities |
Note: quantified results (for example days saved on month-end close) will be added once Your Compass confirms them.
Looking Ahead
With the templates, integrations and reporting layer in place, Your Compass can add employees, service lines and even new entities without rebuilding its operational backbone.
