The Challenge: Compliance Operations That Outgrew Spreadsheets
Like many boutique advisory firms, 52 Seconds Capital’s client and compliance operations had outgrown spreadsheets and disconnected tools. It needed a single system of record that could stand up to regulatory scrutiny while giving relationship managers, compliance officers and senior management a shared, real-time view.
❌ Challenges before the new system
- Client files: no centralized Client Information File with KYC, CDD and documents
- Order control: no structured order management with client approval tracking and audit trail
- Suitability: no automated matching of Client Risk Rating to Product Risk Rating
- Portfolio view: holdings across multiple custodians with no consolidated, branded reporting
- Regulatory trail: manual compliance tracking with no automated alerts against FSRA requirements
- Communication: client email threads in individual inboxes
What They Used Before
Client and compliance operations ran on spreadsheets, disconnected tools and individual email inboxes, with holdings tracked separately at each custodian.
The Solution: One Connected System on Zoho
Zoho CRM is the client source of truth. Zoho Creator handles order management and suitability, where workflow logic matters most. Zoho Analytics provides compliance and management dashboards, Zoho Sign handles e-signature, and Microsoft 365 integration captures client email.
| Layer | Application | Purpose |
|---|---|---|
| Client master | Zoho CRM | CIF, KYC/CDD, document vault |
| Client documents | Zoho Sign + CRM | Signatures for terms, risk disclosures and KYC forms |
| Order management | Zoho Creator + CRM | Order workflow, client approval, trade logging |
| Suitability | Zoho Creator | CRR assessment, PRR matching, concentration checks |
| Portfolio data | Zoho Creator + CRM | Multi-custodian upload and normalization |
| Reporting | Zoho Analytics | Compliance dashboards, KPIs, regulatory extracts |
| Microsoft 365 → CRM | Group routing and communication capture |
What Is Being Built, Module by Module
Module 1 · Client Information File (CIF)
Before: No centralized client file combining KYC, CDD and documents.
✅ What we built
- Standardized CIF layout with personal or entity data, source of wealth and investment background
- Self-service onboarding form, RM assignment and a secure document vault
- Automated expiry alerts for passports and licenses, audit-trail logging and dated CIF versioning
Result: One authoritative client record.
Module 2 · KYC, CDD and accredited-investor proof
Before: Compliance tracking was manual.
✅ What we built
- Standard and Enhanced KYC tiers with linked CDD checklists
- Automated EDD triggers for PEPs and high-risk jurisdictions
- Accredited-investor evidence tracking, periodic review scheduling, sanctions/PEP screening logs and e-signature CDD sign-off
Result: Compliance reviews are scheduled and alerted, not remembered.
Module 3 · Product and security database
Before: No structured product master or risk ratings.
✅ What we built
- Bulk-imported securities master: equities, fixed income, funds, ETFs and structured products
- ISIN/SEDOL/ticker fields, 1–7 Product Risk Ratings and Approved Product List status
- Time-horizon classification with mismatch and concentration alerts
Result: Products carry the risk data that suitability checks need.
Module 4 · Order management (Zoho Creator)
Before: No structured order process with client approval tracking or audit trail.
✅ What we built
- Order lifecycle: Draft → Submitted → Client Approved → Ready for Execution → Executed
- Suitability gate, client email approval capture and an alternative one-click approval
- Maker-checker governance, trade blotter dashboard and a permanent timestamped trade log
Result: Every order has an approval and audit trail.
Module 5 · Suitability framework (Zoho Creator)
Before: No automated matching of client risk to product risk.
✅ What we built
- Embedded questionnaire feeding a weighted 1–5 Client Risk Rating engine
- CRR-to-PRR validation matrix with Pass / Flagged / Blocked at order creation
- Compliance-officer override controls, auto-generated suitability letters and annual re-assessment
Result: Suitability is enforced by the system, not by memory.
Module 6 · Compliance and management dashboards (Zoho Analytics)
Before: No consolidated compliance or management reporting.
✅ What we built
- Ten purpose-built reports: onboarding pipeline, document expiry, KYC/CDD summaries, suitability heatmap and order flow
- FSRA-formatted regulatory exports
- Management KPIs (AUM, revenue, active clients) and concentration and time-horizon monitoring
Result: Compliance and management see the same live picture.
Module 7 · Portfolio aggregation and branded reporting
Before: Holdings were scattered across custodians with no consolidated view.
✅ What we built
- Multi-custodian statement ingestion (3–5+ sources per client) and position normalization
- Base-currency conversion and consolidated dashboards with security and sector concentration
- Branded PDF statements, on-demand and scheduled distribution and a data-freshness indicator
Result: One portfolio view per client across custodians.
Module 8 · Microsoft 365 and Outlook email integration
Before: Client emails lived in individual inboxes.
✅ What we built
- Outlook-to-CRM sync with automatic threading into the CIF
- Group mailbox routing (onboarding@, compliance@, trades@, finance@, info@) with SLA targets
- Triage queue for unmatched emails and a 5+ year email archive
Result: Client communication becomes a shared, auditable record.
Module 9 · Roles, security and audit
Before: Access and change tracking were not controlled.
✅ What we built
- Role-based access for Admin, Compliance Officer, Relationship Manager, Investment Team, Operations/Trading, Senior Management and Client Portal
- Full before/after audit logging and maker-checker segregation across order creation, approval and execution
Result: Audit-ready by design.
Delivery Timeline
The plan runs about 8–9 weeks across 12 phases, from three days of discovery and requirements through CRM core setup, KYC/CDD, the securities master, Creator-based order management and suitability, portfolio aggregation, Analytics dashboards, Microsoft 365 integration, data migration, UAT with compliance sign-off, and training and go-live, followed by 4 weeks of complimentary post-go-live support.
