business challenges addressed
The Challenge: Leads, Units and Payments Spread Across Teams
The existing process involved multiple teams, spreadsheets, documents and manual communication, which made it hard to keep a single source of information or track the progress of each customer and property.
❌ Challenges before Zoho CRM
- Leads from different sources with no centralized tracking
- Sales managers and RMs needing visibility only into their own leads and opportunities
- Several projects and units to manage in one system
- No tracking of the journey Lead → Opportunity → Sales Offer → Booking → SPA
- Sales offers and payment plans handled manually
- Booking information and customer documents hard to collect efficiently
- Sales and finance data kept separately, causing duplicate entry
- Management lacking visibility into pipeline, bookings and financial transactions
What They Used Before
Teams relied on spreadsheets, documents and manual communication. Sales and finance information was maintained in separate places, so the same data was entered more than once.
The Solution: Zoho Forms → Zoho CRM → Zoho Books
Zoho Forms handles structured data collection, Zoho CRM is the central platform for the real estate sales lifecycle, and Zoho Books handles finance and accounting.
Lead → Deal → Project and Unit → Sales Offer → Payment Plan → Booking Form → SPA → Invoice and payment in Books
1 · Lead and sales pipeline (Zoho CRM)
Before: Leads arrived from different sources with no central tracking or role-based visibility.
✅ What we built
- Centralized lead management with source tracking and RM assignment
- Follow-up and activity tracking, sales pipeline visibility and communication history
- Role-based record access so managers work with their own leads while management keeps overall visibility
Result: One pipeline from initial enquiry to booking.
2 · Project and unit management
Before: Multiple developments and units could not be managed in one system.
✅ What we built
- Dedicated Projects Master in CRM
- Unit number, type, bedrooms, area, value, availability and related opportunity captured per unit
- Deals associated with the respective project and unit
Result: A structured relationship between customer, deal, project and unit.
3 · Sales offers and payment plans
Before: Offers and payment plans were prepared and tracked manually.
✅ What we built
- Sales Offer process linked to customer, deal, project and property
- Payment Plan process capturing installment, percentage, amount, due date, milestone and status
Result: Clear visibility of commercial terms and payment commitments for every booking.
4 · Booking form and SPA
Before: The journey stopped at the sales opportunity, with no structured booking or SPA step.
✅ What we built
- Dedicated Booking Form and SPA processes captured against the deal
- Controlled or view-only access to sensitive downstream modules depending on role
Result: Improved traceability of each property sale.
5 · Customer data collection (Zoho Forms)
Before: Customer and booking information was collected inconsistently.
✅ What we built
- Forms for customer details, contact information, project interest, booking information and documents
- Submissions passed into Zoho CRM in a standard format
Result: Less manual data entry and cleaner data.
6 · Financial management (Zoho Books)
Before: Sales and finance data were maintained separately.
✅ What we built
- Customer accounting records, invoices, payment tracking, receivables, expenses and financial reporting
- Customer and transaction information flowing between CRM and Books
Result: CRM manages sales and customers; Books manages finance and accounting, with no duplicate entry.
Benefits Achieved
✅ What changed
- Single source of truth for customer, project, unit, offer, booking and sales information
- Improved sales visibility across pipeline stages for management
- Reduced manual data entry through Zoho Forms and application integrations
- Better project segregation: deals tied to the right development
- Structured documentation: offers, payment plans, booking forms and SPA connected to the customer journey
- Improved access control based on role
- Sales–finance integration between CRM and Books
- Scalable architecture: new projects, units, users, workflows and reports can be added without redesign
Note: quantified results (for example time saved per booking) will be added once Rock Hill Development confirms them. This solution is built on Zoho CRM, Books and Forms; Zoho Creator was not part of this implementation.
Conclusion
By combining Zoho CRM, Zoho Forms and Zoho Books, Nurture Spark gave Rock Hill Development process control, data visibility, automation and access security across sales and finance, and a scalable platform for future projects.
